Try including a portion of the email that references something the original emailer has written. This indicates to the person that you really care about them and are not an autoresponder.
2. Try not to let the telephone ring and ring. Avoid screening phone calls. Whenever your telephone rings, answer it by the third ring. Do this even if you really have no wish to talk to the person attached to the caller ID flashing on your screen. The good news is that there is, nonetheless, an exemption to this rule. You don't have to answer your telephone 24 hours a day. Instead, simply schedule definite "business" hours during which you are available answer phone calls. These business hours should be displayed conspicuously on your website and mentioned in your voice mail message too. And, of course, each person who leaves a message deserves a return call.
3. Ensure that the individuals you send messages and emails to actually receive those messages and emails. This indicates to the individual that you value him or her. It will endear you further if you include something like, "Is there anything that I can be clearer about?" so that, if they have inquiries, you can answer them.
